1. Scope and Relationship to the Terms
This Privacy Policy describes how Agentic Orthodontics Inc. may collect, use, disclose, and protect Personal Data in connection with SanDiegoOrthodontic.com and related websites, applications, scheduling technology, video services, communications, AI features, payment functionality, and associated services. This Privacy Policy is incorporated into the Terms of Use.
Depending on the Services you use, information may include account and contact details; credentials; insurance information and insurance-card data; appointment and scheduling information; medical information you choose to submit; payment-card and billing information processed with payment partners; provider-profile and practice information; reviews, feedback, inquiries, and other posted information; phone and text-message preferences; information received from connected third-party accounts; and technical or usage information reasonably generated through use of the Services.
3. Medical and Sensitive Information
You may choose to provide medical information or complete a medical history form for yourself or for another person when you are authorized to do so. You may authorize Agentic Orthodontics to provide that information to the healthcare provider you select. Do not use general website or provider-registration forms to submit medical records, Social Security numbers, payment-card data, or other sensitive information unless the applicable Service specifically requests and is designed to receive that information.
Insurance information is provided for general reference and convenience. It may be supplied by you, a healthcare provider, an insurer, or a third-party clearinghouse and may change frequently. You are responsible for providing, reviewing, and maintaining accurate insurance-related information and for confirming coverage, benefits, and financial responsibility directly with your insurer and healthcare provider.
5. How We May Use Information
We may use information to provide and improve the Services; create and maintain accounts; support provider search, matching, scheduling, communications, telehealth enablement, insurance-related features, and transaction processing; respond to inquiries; verify provider or practice information; personalize search or profile results; administer reviews and posted information; deliver transactional or opted-in marketing communications; protect the Services; enforce policies; comply with law; and support analytics, machine learning, and artificial-intelligence functionality described in the Terms.
6. AI Features and Automated Processing
Some Services or Content may be generated or powered by artificial intelligence, including third-party AI tools. Information submitted to search, phone, or chat features may be processed to generate responses or recommendations. AI outputs may be incomplete, incorrect, or unsuitable and must not be treated as medical advice, diagnosis, treatment, endorsement, or a substitute for independent review. Users are responsible for evaluating AI outputs before relying on them.
Information may be shared with healthcare providers you select or authorize; insurers and clearinghouses; payment processors; scheduling, video, cloud, communications, analytics, security, and AI service providers; connected third-party account providers; professional advisers and authorities when required by law or necessary to protect rights and safety; and affiliates, successors, or acquirers in connection with a corporate transaction. Sponsored results are labeled and do not constitute an endorsement or referral.
When payment functionality is used, payment-card and billing information may be processed by Agentic Orthodontics and/or its payment-processing partner. The payment processor may apply its own terms and privacy policy. Agentic Orthodontics is not responsible for errors, acts, or omissions of third-party payment processors.
9. Phone, SMS, and Marketing Communications
If you provide a mobile number and consent, Agentic Orthodontics may send transactional, operational, informational, or marketing calls and messages as described in the Terms. Message and data rates may apply. Message frequency varies. You may opt out by replying STOP, END, CANCEL, UNSUBSCRIBE, or QUIT, or by using available account settings. A final confirmation message may be sent.
10. Reviews, Feedback, and Posted Information
Information you post through interactive or community features is your responsibility and may be visible to others. Subject to this Privacy Policy, the Terms grant Agentic Orthodontics rights to use, adapt, publish, and analyze posted information and feedback, including through machine-learning or artificial-intelligence mechanisms. Do not post information that is false, fraudulent, infringing, or that unlawfully discloses another person’s private information.
11. Third-Party Services and Links
The Services may contain links to third-party websites or incorporate third-party software, application stores, social-login providers, video services, payment services, or AI tools. Those parties may collect and process information under their own terms and privacy policies. Agentic Orthodontics does not control and is not responsible for third-party privacy practices.
12. Data Security
Agentic Orthodontics may use administrative, technical, and organizational measures intended to protect information. No system or transmission method is completely secure, and the Terms do not guarantee uninterrupted, error-free, or fully secure operation. Keep account credentials private and promptly report suspected compromise.
13. Retention and Account Termination
Information may be retained for as long as reasonably necessary to provide the Services, meet contractual and legal obligations, resolve disputes, enforce agreements, and support legitimate business purposes. Account termination may result in deletion or destruction of associated content, subject to legal, operational, and contractual retention needs.
14. Children and Authorized Users
A person must be at least 18 years old, or the applicable age of legal majority, to create an account or use the Services independently. A parent, legal guardian, or otherwise authorized person may use the Services on behalf of a minor or another individual and represents that they have authority to provide information and accept the applicable terms.
15. Your Choices and Requests
You may update account and contact information, change notification settings, opt out of marketing communications, and stop using the Services. Requests concerning personal information may be directed to the contact addresses below. Some information may need to be retained where required by law, contract, fraud-prevention, security, dispute-resolution, or operational requirements.
16. Changes to This Privacy Policy
This Privacy Policy may change as the Services evolve. Material changes may be communicated through a site notice, email, or other reasonable method. Continued use after an effective-date change constitutes acceptance to the extent permitted by law.
